Desk Services Coordinator (2 positions available)
The Desk Services Coordinator work primarily at an area service desk to assist residents and guests with check-ins, check-outs, and emergencies.
Qualifications
- Applicant must have a 2.0 GPA at time of application.
- Applicant must be in good judicial standing with the University and the Office of Housing and Residence Life.
- Applicants must be computer literate, able to work in a fast paced team environment, and exhibit exceptional customer service skills and professionalism.
- All offers of employment are contingent upon the successful completion of a background check and drug screening.

Specific Duties and Responsibilities
General Responsibilities
- Provide administrative support to the Conference Services, the Area Coordinator and Resident Directors in the assigned section of campus for the overall management, supervision, training, development, and evaluation of summer operations and desk staff.
- Demonstrate a strong commitment to customer service. Train staff members to provide courteous, pleasant, and efficient service to all summer guests and hold them accountable to high standards of service. Investigate, handle, and report any problems or concerns that may arise during a guest’s stay.
- Maintain close contact with the Assistant director for marketing and Conference housing, Conference and Guest Housing Coordinator, Conference Assistants, and Residence Life staff, as well as Facilities Management staff.
- Attend weekly staff meetings and provide additional staffing as required.
- Provide desk shift coverage in emergency situations. Provide support to all aspects of summer operations including desk operations, guest services, and site coordination. Assist with other Housing tasks that occur during the summer, including tasks related to closing/opening the residence halls for academic year residents.
Administrative Duties
- Assist with scheduling desk, duty, and supplemental shifts. Ensure that day, evening, and weekend shifts are equally distributed.
- Assist the Conference Services Staff in planning for major check-in and check-out activities. Schedule additional staff, maintain check-in rosters, and oversee the process of preparing keys and registration cards for check-ins.
- Be present for all major check-in and check-out activities as directed by supervisor(s). At check-in and check-out, ensure that all registration cards are filled out accurately and completely. Ensure that cards are counted and organized as directed by supervisor(s).
- Accept comments/requests from groups and guests. Refer requests to appropriate staff and follow-up as necessary.
- Manage all room keys and common area keys. Monitor staff in performing bi-weekly key audits.
- Manage mail and packages; ensure messages are delivered in a timely fashion.
- Gather information that would be helpful to guests and residents for display at the front desks; ensure all materials at the desk and in the lobbies are organized and neatly displayed.
- Ensure that all emergencies are reported immediately to the RD on duty and to any other appropriate individuals as directed by supervisor(s).
- Understand, enforce, and adhere to all relevant policies and procedures as set forth by Housing and Dining Programs and GMU.
- Attend Summer Leadership Team meetings and Summer Staff weekly meetings to promote a well managed and happy staff.
- Manage and help coordinate the payroll/tracking of hours of each person working at the desk.
- Other duties as assigned.
Staff and Community Development
- Encourage and maintain a community atmosphere where the rights and responsibilities of staff, residents, and guests are held in high regard. Encourage the development of staff team and address tensions/interpersonal issues of the staff as they arise.
- Ensure that summer staff create a welcoming environment and establish and maintain informative and useful means of communicating with guests/residents and with each other through bulletin boards and a message center.
- In the event that a Conference Management Assistant leaves before or during the summer, assume additional responsibilities as requested.
- Assist with desk training and provide supplemental assistance as needed.
Renumeration
- This is a non-salaried position that requires a minimum of 35 to no more than 40 hours per week. The Desk Services Coordinator will be paid $6.50 per hour for time worked.
- Every DSC will receive a single room on-campus during the length of her/his summer employment. Summer Staff may need to relocate to another building/room during the summer to accommodate needed repairs/maintenance or early arrivals for the Fall 2009 semester.
- Every summer staff member will receive a staff T-shirt to be worn during desk hours, check-in/check-out days and other functions as directed.
- Should a summer staff member be terminated or resign from her/his position for any reason, she/he will be expected to vacate Mason campus housing within 24 hours.
- Desk Services Coordinator may not hold outside commitments (excluding academic classes) of more than 10 hours/week. All internships, jobs, and obligations of more than 10 hours/week must be approved in advance by supervisor. Summer staff position responsibilities take priority over any outside commitments.
