2009 Conference Management Assistant (2 positions available)
 
The Conference Management Assistant is a leadership role within the summer student staff. This position also assists with planning and facilitating training for summer staff while also completing Conference Assistant responsibilites.
 
Qualifications
  1. Maintain a 2.5 competitive GPA.
  2. Be a Conference Assistant previously for the Office of Housing and Residence Life or have a tourism/hospitality/customer service background through either course work or past work experience.
  3. Meet all Conference Assistant (CA) qualifications as well.

Period of Employment

April 1 – August 30, 2009
(April 1 - May 13: CMA hours will be limited and flexible - less than 5 hours a week)

Specific Duties and Responsibilities

The job responsibilities listed below are in addition to the items listed in the regular Conference Assistant job description. Please review both descriptions for complete job responsibilities.

Leadership Responsibilities:

  1. Be a strong role model for the Conference Assistants.
    1. Show up in a timely fashion for and complete your scheduled desk and/or duty shifts
    2. Keep an open mind and a positive attitude
    3.  Exhibit a high standard of conduct
    4. Maintain confidentiality
      1. Discourage participation in the rumor mill – especially your own participation
    5.  Be consistent in your interactions with guests and staff especially in regards to accountability
    6. Support OHRL and Area initiatives
      1. This is especially important for any policy/issue you may disagree with or not feel like supporting. Please speak to your supervisor. Do not allow your feelings and beliefs to show to other staff members
    7. Make sure to take time for yourself (your studies, your personal life, your health and well-being)
  2. Serve as a Mentor to Conference Assistants
    1. Be a resource for information and guidance to the community.
    2. Build a leadership team on staff through programming efforts
    3. Maintain regular (preferably daily) contact with individual staff members
    4. Serve as a resource and liaison for emergencies in your area.
    5. Support the CAs in confrontational situations by sharing knowledge and expertise
  3.  Provide job related feedback as a peer (this is meant to be non-supervisory in nature) in training.
  4. Act as a liaison between CAs and Residence Life professional staff
    1. Meet with your AC and RD(s) on a regular basis to discuss area initiatives and CA feedback
    2. Report significant concerns regarding CA staff to the appropriate professional staff as soon as possible.

Administrative Duties:

  1. Attend Residence Life Team Meetings with AC/RD (this may include facilitating occasional staff meetings).
  2.  Assist professional staff in check-in and check-out of conference groups.
  3. Work with professional staff to plan staff development and training for the Conference Assistants.
  4. Assist in training/updates for CAs at staff meetings.
  5. Create a weekly duty report due on Monday morning at 10am from the duty logs.
  6. Perform bulletin board checks.
  7. Work with professional staff to maintain a professional desk area to provide guest services from.
  8. Coordinate welcome efforts for conference groups.
  9.  Provide staff recognition for excellence.

Supervision

  1. Meet weekly with the Area Coordinator for your areas of responsibility to discuss issues, concerns, and receive updates and information.
  2. Meet weekly with Assistant Director of Marketing and Conference Housing and Conference and Guest Housing Coordinator to review performance and to receive updates.

Conference Management Assistant Renumeration

  1. This is a non-salaried position that requires  a minimum of 30 to no more than 40 hours per week.  The Conference Management Assistant will be paid $7.00 per hour for time worked.
  2. Every Conference Management Assistant will receive a single room on-campus during the length of her/his summer employment.  Summer Staff may need to relocate to another building/room during the summer to accommodate needed repairs/maintenance or early arrivals for the Fall 2009 semester.
  3. Every Conference Management Assistant will receive a staff T-shirt to be worn during desk hours, check-in/check-out days and other functions as directed.
  4. Should a Conference Management Assistant be terminated or resign from her/his position for any reason, she/he will be expected to vacate Mason campus housing within 24 hours.
  5. May not hold outside commitments (excluding academic classes) of more than 10 hours/week. All internships, jobs, and obligations of more than 10 hours/week must be approved in advance by supervisor. Summer staff position responsibilities take priority over any outside commitments.
