Housing Services Coordinator

Position Function Statement:  

The Housing Services Coordinator is a classified professional staff member responsible for the occupancy management and oversight of the day-to-day operations and administrative procedures of their assigned area. This position is responsible for administering initial housing assignment, processing room changes and agreement releases.  In addition, they must insure excellent customer service for parents, current residents and prospective resident students by providing an environment that is student friendly and professional.

Supervisor: Associate Director for Housing Services and/or residence life based on  assignment.

Minimum Qualifications: 

1) Bachelor’s degree and significant post –degree, full time experience in university housing or an equivalent combination of education and experience required. 
2) Working knowledge of the Residential Management System (RMS) or other leading university housing management database software.               
3) Excellent oral and written communication skills with demonstrated success with customer service and satisfaction.
4) Excellent organizational and interpersonal skills.
5) Demonstrated project planning success. 
6) Must have knowledge and experience with Microsoft Office Software Package and SCT Banner. 
7) Proven ability to manage time effectively.
8) Ability to exercise independent judgment and initiative.
9) One year experience as a supervisor.
10) Ability to work collaboratively in a team oriented environment.

Desired Qualifications: Master’s degree in College Student Personnel or related field and residence life experience.

RESPONSIBILITIES :  A housing services coordinator at George Mason University fulfills four primary areas within the Office of Housing and Residence Life.  Responsibilities fall into the categories of Occupancy Management, Billing and Special Populations, Office Management/Customer Service, and Administration/Special Projects.

Occupancy Management

The Housing Services Coordinator is expected to:

a. Administer the assignment and billing of residential students utilizing the Residential Management System (RMS).
b. Maintain accurate records regarding the occupancy of assigned area. Including, but not limited to; maintaining current housing rosters, occupancy reports and updates, and other reports as determined by the OHRL leadership.   
c. Coordinate the Room Change Process throughout the academic year.  Including, but not limited to, working with students, Residence Life staff, and Facilities Staff to ensure accurate student moves.
d. Coordinate and implement housing offers and assignment communication to incoming residential students.
e. Administer the Occupancy Verification for the Fall, Spring, and Summer semesters.
f. Assist with the planning and implementing the annual Room Assignment Process (RAP) for returning applicants.

Billing and Special Populations

In collaboration with their supervisor, residence life staff and other university departments, the Housing Services Coordinator is expected to:

a.  Administer financial changes resulting from room changes, new contracts, deposits, and agreement releases. 
b. Oversee collection process of Room Assignment Process (RAP) deposits.
c.  Maintain contact with administrative and technology staff to ensure proper account charges.
d. Work with parents, students, and staff to resolve billing questions.
e.  Maintain positive relationships with other University departments.  Including, but not limited to mail services, food services, Information Technology Unit, parking services, English Language Institute, Center for Global Education, Living and Learning Communities, and athletics.
f. Assist in the coordination and communication with other special populations and priorities as determined by the University.
g. Update the Residential Management System to reflect Board approved housing rates.

Office Management/Customer Service

In collaboration with their supervisor and residence life staff the Housing Services Coordinator is expected to:

a. Actively support and comply with all University policies, OHRL regulations and departmental vision and goals.
b. Supervise the front desk staff which includes, a full time area administrative assistant and other front desk assistants (Resident Advisors/Desk Assistants).  This includes, but is not limited to, recommendations for hiring, termination, training, work allocation, and problem solving.
c. Evaluate the performance of the area Administrative Assistant on a regular basis. Provide opportunities for staff to receive feedback about the quality and effectiveness of their work.  Formally evaluate the performance of the area Administrative Assistant during the fall and spring semesters.
d. Along with the Resident Director, ensure that after-hours staff are performing duties within University policies, OHRL regulations and departmental vision and goals.
e. Assist the front desk staff with office procedures and daily assignments.
f. Ensure that the front desk staff are aware of any changes in any policies, procedures, and processes.
g.    Ensure adequate office coverage at all times.
h. Ensure that the area office is providing excellent customer service. This includes, but is not limited to, creating a student-centered, professional environment that is fully aware of University policies and procedures.
i. Inventory and order all office supplies for the area office, maintain office equipment and serve as a liaison for printed materials.
j. Check and respond to telephone messages and e-mails sent to the Office of Housing and Residence Life.
k. Organize and maintain confidential student files.
l. Adhere to Commonwealth and University guidelines regarding making purchases and financial transactions.

Administration/Special Projects

The Housing Services Coordinator is expected to:
a.   Assist with the planning and implementing the annual Room Assignment Process (RAP) for returning applicants.
b. Along with residence life and facilities staff, coordinate and manage the transitions within the residence halls.  This includes but is not limited to: Early Arrivals, move-in, between semester room changes, winter break transition, extended stay/GAP housing, move-out.
c. With cooperation from Residence Life staff, responsible for correspondence to students/staff regarding transitions.
d.  Working within the limits of professional capabilities, assist students who have academic, vocational, and personal concerns. Make appropriate referrals when necessary.
e. Actively serve and participate in departmental committees as assigned.
f. Other duties as assigned by the director, associate directors or other OHRL staff.
g. Some evening and weekend work required.
h. Notify Housing Facilities staff of special needs students and room capacity changes.
