Find out all you need to know about Freshmen, Transfer, SMSC, and Upperclass Move-in

Freshmen

When can I check-in?

  • All freshman students may check-in on Wednesday, August 21, 2019, at or after their assigned check-in time. 2019 Freshman Check-In Times
  • All first year and transfer students registered for New Student Orientation on Tuesday, August 20, may check-in on Tuesday, August 20, 2019. All students registered for the August 20 orientation will receive an email with early move-in instructions.
  • All check-in times are based on assignment.

Can I check-in early?

First year freshmen students are not allowed to check-in early unless participating in a university sponsored activity or registered and attending the August 20 New Student Orientation. All students registered for the August 20 orientation will receive an email with early move-in instructions.

Where do I check-in?

Check-in for all freshmen on August 21 is centralized via Neighborhood until 4:00 PM. It is important that you follow directions and enter campus as instructed for your assigned neighborhood. You can view and download move-in maps of each neighborhood:

Rappahannock (Commons, Commonwealth, Dominion, Eastern Shore, Piedmont, Tidewater)

Shenandoah (Presidents Park)

If you are assigned to the Shenandoah Neighborhood (all Presidents Park buildings), you are to enter campus via Braddock Road onto Roanoke River Lane. Look for signs and volunteers. You will remain in your car for check-in and then proceed to your area for unloading.


If you are assigned to the Rappahannock Neighborhood (Commons, Commonwealth, Dominion, Eastern Shore, Piedmont, Tidewater), you are to enter campus via University Drive and proceed to park in the Rappahannock parking deck. You will exit your vehicle and proceed to Hanover to complete your check-in.

If you arrive to campus for move-in after 4PM on Wednesday, August 21, please park your vehicle in a campus visitor lot and proceed by foot to your assigned neighborhood desk. Here, you will receive a temporary parking permit as you unload your belongings.

  • Shenandoah Neighborhood (all Presidents Park buildings): Eisenhower Desk
  • Rappahannock Neighborhood (Commons, Commonwealth, Dominion, Eastern Shore, Piedmont, Tidewater): Piedmont Desk

Before You Arrive:

  1. Review the instructions for your move-in time/location and print your move-in map. Check your Mason email, and fully review the informative move-in email that goes out to students on August 1st. 
  2. Label every item with your last name, building, and room number (including: boxes, luggage, totes, trunks, loose items).  This will help our volunteers and staff get your items to the correct room.  Please refrain from packing in trash bags, if possible.
  3. Check out the packing list and talk to your roommate(s) about who is bringing what.  Remember, there are stores near campus – you don’t have to bring everything on the first day!
  4. Avoid over-packing and over-filling your room. Consider what items you will need now and what access you may have to other belongings at a later date. For example, if you intend to go home before the weather cools off, you might leave your winter wardrobe at home, for now.

Move-in Tips:

If you have family or friends arriving to assist you in vehicles that do not contain any belongings for unloading at your room, those folks should bypass the move-in process and go directly to parking. Please instruct them to enter campus on Roanoke River Lane and go directly to Lot K to park. From there, they should take the move-in shuttle provided and meet you at your building (ensure they know what neighborhood and building you have been assigned). This will expedite their arrival process and better enable them to assist you.


Ensure you have your Mason ID and neighborhood, building, and room assignment easily accessible when you arrive on campus.


Familiarize yourself with the move-in map before August 21st, and pay close attention to directional signage as you get close to campus. This will ensure that you enter campus at the right points off of the appropriate roads, in order to access the check-in process.

Welcome Events & Opportunities:

After you drop off your belongings, you get settled in, and you take advantage of lunch on the lawn, we have a full schedule of events to get you connected, learn more about Mason, and prepare you for your first day of classes.  Just to name a few:

STUDENTS:

4:30pm – 7:00pm: Dinner in Southside

7:00pm – 8:00pm: Residence Hall First Floor Meetings

8:00pm – 11:00pm: Club 4400 on the President’s Park Lawn

PARENTS, FAMILIES, and LOVED ONES:

All are invited to join University Life staff for a Family Farewell at the Center for the Arts from 1:30pm-5:30pm. Remarks will happen on the half hours and staff will be present to answer questions.

Upperclass & Transfer

Upperclass students may request to move-in early via your Housing Portal. The first day to request to move-in early is Sunday, August 18, 2019. If approved to move-in early you will be charged $50 a night depending on the day you checked in. More information on early arrival check-in will be emailed to your Mason email account in early August.

Any upperclass student who successfully volunteers for Freshmen Move-in as part of our MoveCrew team will not be charged the early arrival fee.  Students who wish to sign up to be a MoveCrew volunteer may do so by submitting the MoveCrew Volunteer Application

Where do I check-in?

Upperclass & Transfer move-in on Saturday, August 24, 2019 will take place in the lobby of your assigned building from 9:00am until 4:00pm. Please park your vehicle in an adjacent lot to your building and proceed by foot to your building where you will receive a temporary parking permit for move-in.

If you arrive to campus for move-in after 4:00 PM on Saturday, August 24, 2019, please park your vehicle in a campus visitor lot and proceed by foot to your neighborhood desk. Here you will receive a temporary parking permit as you unload your belongings.

Upperclass Early Arrival

If you are an upperclass returning student, not a new transfer or freshmen student, then you can request to check-in as early as Sunday, August 18, 2019. The Early Arrival Applicaition will close on August 2nd, 2019 at 5:00pm. 

Upperclass students may request to move-in early via your Housing Portal. The first day to request to move-in early is Sunday, August 18, 2019.  The earliest time you can move in is 9:00am on August 18.  If you arrive prior to this time, you will be charged an additional $100 on top of the nightly early arrival fee.  If approved to move-in early you will be charged $50 a night depending on the day you checked in. More information on early arrival check-in will be emailed to your Mason email account in early August. 

Any upperclass student who successfully volunteers for Freshmen Move-in as part of our Move Crew will be credited the early arrival charge back to their student account.  Students who wish to sign up to be a Move Crew volunteer may do so by submitting the MoveCrew Volunteer Application.

When can I check in?

All SMSC students may check-in on Sunday, August 25, 2019, between noon and 5:30 pm.

Can I check in early?

SMSC students are not allowed to check-in early.

Where do I check-in?

For GPS purposes: 

1500 Remount Road,

Front Royal, VA  22630

Turn by turn directions:

Take 66 West to exit 13/Linden/Front Royal.
Left at the light at the end of the ramp; proceed under the overpass (I-66)
Right at the light onto RT 55/John Marshall Hwy
Follow RT 55/John Marshall Hwy approx 4.7 miles
Turn left at the light onto RT 522 (KFC on the left corner)
Follow RT 522 approx 1.9 miles, SCBI will be on left
Enter at Gate #2 (Main Gate) 

Site Instructions:

After driving through Gate #2, stop at the guard post to provide ID. Gate personnel will be aware of your visit.
Drive to the top of the hill. The Smithsonian Tower with yellow and blue sun will be on your right.
Turn right at the Smithsonian Tower onto Farm Road.
Parking is available on the right, directly across from the entrance of the SMSC Residence Hall.

MoveCrew Volunteer Application

Participate in the largest welcoming committee during Mason Move-In Day 2019! Not only will you be able to welcome new Patriots to campus, students who successfully complete their MoveCrew experience will not be charged Early Arrival fees.

A typical MoveCrew Volunteer should expect the following schedule for August 21st:

• 7:00am - Check-in for the day

• 12:00pm - Lunch (provided). 45 min in length

• 4:00pm - Debrief & Check-out

Important Dates:

  • July: Early move-in information will be emailed to volunteers
  • August 19th: MoveCrew training
  • August 21st: New Student Move-In Day

The deadline to submit the MoveCrew Volunteer Application is August 2, 2019 at 5:00pm.
